Privacy Policy

Community participation

Public community accounts and My Collection are not open yet. The current contribution and photo forms request the information needed to review what you submit, including contact details, subject and provenance, rights choices, and public credit preference. Submissions enter private review; sending a photograph or observation does not make your contact information, contribution, or collection public.

Future collection sharing, contributor profiles, plant update notifications, and research invitations will require separate controls and appropriate permission. Creating an account or sharing a collection will not by itself opt you into research contact. A grower’s home or greenhouse location will not be displayed as a botanical locality. To ask about your submitted information or public credit, use the Contribute page and label your request “Privacy request.” The form’s privacy-request instructions explain how to fill its required fields.

Who we are

Hoya Research Library operates this website at https://hoyalibrary.org. We publish Hoya research and receive contributions for private review.

Comments

Public page comments are currently closed. The community discussion pilot is restricted to site administrators. Its posts and member profiles are not open to public visitors. We will update this notice before opening discussions to members.

Member profiles in the private discussion pilot do not use Gravatar.

Media

Photographs submitted through Add a Photo enter private review. Files may contain camera metadata, including location data. We review rights, credit, and sensitive information before displaying an approved image. Publicly displayed images can be downloaded by visitors, but downloading or finding an image on this site does not grant permission to reuse it. Check the credit and reuse statement shown with the image.

Cookies

Authorized administrators may use WordPress sign-in and preference cookies. Public community registration and My Collection are not enabled.

If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select "Remember Me", your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

Embedded content from other websites

Some pages may include content from other websites. Opening embedded content can allow the external site to collect information or set cookies under its own privacy practices.

These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website.

Who we share your data with

Contribution and photo submissions are available to authorized reviewers and the providers that host and secure this website. Approved material may display the contributor’s chosen public credit, but not their private contact details. Authorized account holders may use WordPress password reset. The reset email may include the requesting IP address.

How long we retain your data

Public comments are closed. We retain submitted materials and their private review history as needed to preserve provenance, assess corrections, and maintain security. A request to withdraw public display does not automatically erase a lawful internal record.

Public registration is disabled. Authorized administrator accounts contain the profile details needed to sign in and manage the site. Member account and collection retention rules must be reviewed before public registration opens.

What rights you have over your data

To ask about information you submitted, request a copy, correct public credit, or request withdrawal of public display, use the Contribute page. Follow the privacy-request instructions beside the form; include enough detail to identify the submission, and expect private follow-up to verify the request. We review requests against the applicable privacy, rights, preservation, and security needs. Public member accounts and My Collection are not available yet.

Where your data is sent

Public comments are closed. Information submitted through the contribution and photo forms is reviewed privately by authorized site staff. The site uses hosting and WordPress software to receive, secure, and process submissions. We will review this notice and any additional services before opening community accounts or discussions.
